Cancellation & Refund Policy

48-hour cooling-off
You can cancel any booking within 48 hours of paying your deposit and receive a full refund, no questions asked. Email us or message your coordinator on WhatsApp; the refund is issued through Stripe within 5-10 working days.
After the cooling-off period
Once the cooling-off period ends, your refund depends on how close to your procedure date you cancel. The reason the refund drops as the date approaches is that we and the clinic have already committed to flights, hotel nights, and the clinic's booked theatre slot — those costs are no longer recoverable.

Rescheduling instead of cancelling
You can reschedule once at no charge if you do so at least 14 days before your procedure and the clinic has availability. Inside 14 days, rescheduling is treated the same as a cancellation under the tiers above and a new deposit is required to lock the new date.
Medical declines and unsafe-to-fly
If the clinic declines you medically after reviewing your screening, or if a treating physician certifies in writing that you are unsafe to fly, you receive a full refund regardless of how close to the procedure date the decision is made. We may ask for the supporting medical letter before processing the refund.
Cancellations by MedVoyage or the clinic
If we or the clinic cancel your booking for any reason that is not your fault, you receive a full refund of every payment made to MedVoyage. Where possible we will offer an equivalent alternative date or clinic first.
What is not refundable
- Optional tourism add-ons booked within 7 days of the activity date.
- Visa, vaccination, or insurance costs paid to third parties.
- Currency-conversion differences between the rate locked when you booked and the rate at the time of refund.
How to request a refund
Message your coordinator on WhatsApp or email refunds@medvoyage.example with your booking reference. Refunds are issued through Stripe to the original payment method within 14 working days of approval.
